Position Summary and Requirements: The Events Coordinator plays a key role in supporting the Events Manager and the broader team in executing Midtown Association’s dynamic events programming. This includes the Midtown Farmers Market, Fresh Air: Midtown Parks, Second Saturday, Midtown Love, Halloween Festival and Pooch Parade, Event Support Program, and other special events. The Events Coordinator ensures smooth daily operations, upholds program goals, and fosters engaging, well-organized experiences for vendors, visitors, sponsors, and stakeholders.

 

This role is integral to fulfilling the Midtown Farmers Market’s mission of activating public spaces, increasing food access, and supporting microenterprise. The Events Coordinator enforces market policies, manages vendor relations, supports sponsor activations, and ensures compliance with operational procedures. Additionally, they help deliver high-quality brand experiences, engaging event programming, and strong stakeholder communication.

 

The ideal candidate is organized, detail-oriented, and passionate about Midtown’s vibrancy, diversity, and sustainability. They should be adept at problem-solving, proactive in improving processes, and comfortable working in a fast-paced, public-facing environment.

 

What is a Midtown Association Coordinator? Qualified Coordinators have the ability to participate with consultants and staff to reach predetermined outcomes within budget on specific projects. They excel at getting tasks done and communicating information between stakeholders, staff, consultants, and other team members to keep the group “on the same page.” They have a special knack for the area of the organization in which they serve and are a great source for expert “on the ground” information on their projects. Coordinators maintain communication with key partners in the community to ensure the success of the organization. Coordinators should have an associate’s degree, and a bachelor’s degree in a relevant area of study is preferred.

 

Basic Employment Qualifications: All candidates should have at least two years of professional event coordinating experience. An Associate’s Degree is required with a Bachelor’s Degree preferred. Candidates should have experience with Word Processing, Excel and  Outlook , the ability to speak, read and clearly write in English with bilingual abilities preferred, the ability to lift up to 40 pounds, and be able to remain on their feet outdoors for up to 10 hours per day in potentially inclement weather. All candidates should be very detail oriented and adept at problem solving, have excellent verbal and written communications skills and proven positive customer service experience. Candidates should also anticipate pre-employment background checks, driving record checks, and a drug screening.

 

Work Environment: The work environment is located inside and outside and consists of completing tasks involving project and event planning, coordination, and support of activations and events. Conditions can range to include working outside in all types of inclement weather. Must be able to work around varying degrees of noise and interruptions. Must be self-motivated, flexible, patient, and able to complete job assignments without direct supervision under stressful conditions.

 

Benefits: This is a full-time, hourly position at no less than 40 hours per week. Schedule of the office is generally Tuesday through Saturday, 8 am until 5 pm, except from 6 am until 2:30 pm on Saturday to support the Midtown Farmers Market. Essential Duties & Responsibilities:

 

Under the direction of the Events Manager, the Events Coordinator play a supporting role in executing all operational and on-site aspects of the Midtown Farmers Market, , and other event programs as assigned including, but not limited to:

 

  • Work closely with the Events Manager on market days to ensure all deliverables and tasks are completed in a timely manner
  • Assist Events Manager in monitoring policies and procedures, on-site safety and compliance and partnering with Events Manager and safety partners, as required
  • Support all aspects of the Midtown Farmers Market including set-up, tear-down, and ongoing care and inventory of market operations equipment and street closures with the Events Manager and Saturday staff
  • Lead events programming tasks including - booking musicians, booking Second Saturday demonstrations, sponsor activities, and any future programming needs, in collaboration with and as determined by Events Manager and Associate Director, Events.
  • Support on-site brand experience under the guidance of the Events Manager by producing a weekly site map, ensuring signage is up correctly day-of, and all activations areas are properly displayed.
  • Take lead on on-site digital communication needs under the guidance of the Communications team such as posting and sharing social media stories, producing story content on Saturdays, assist in coordinating details for media shots as needed, and maintaining the Midtown Farmers Market digital brand on market days.
  • Process vendor documentation at intake including vendor contracts and Certificate of Insurance and regulatory documents.
  • Support vendor billing and payments in line with organization’s financial compliance policies - tasks include sending vendor invoices, generating outstanding balance reports, and following up on non-payment via email and phone.
  • Maintain strong and responsive vendor relationships and act as a resource for vendors with routine questions and guidance on compliance, market management software, and market procedures and policies.
  • Respond to visitor questions through multiple channels including email, phone, and at the information booth.
  • Lead and maintain a robust volunteer program including volunteer communications, scheduling, Monday.com board, budget, and on-site volunteer support.
  • Duties related to Event Support program including - equipment inventory management, equipment hand-off and pick-up, equipment quality inspections, and storage organization.
  • Drive fleet vehicles, complete bi-annual safe driver training, and maintain a safe driving record.
